IdoBooking cleaning schedule via iCal and WhatsApp

IdoBooking is a Polish booking system for apartments, and many managers who use it run cleaning teams across several cities. An IdoBooking cleaning schedule usually starts with the system's own cleaning module. This guide explains what that module does, where Readyby adds something, and how to connect the two.

First, the facts. Readyby has no direct IdoBooking integration today and no partnership with IdoBooking or IdoSell. Readyby reads the iCal files IdoBooking exports for each unit. A direct IdoBooking connection is on our roadmap.

What IdoBooking already does for cleaning

IdoBooking has a cleaning module (housekeeping). It lets you switch a unit between "to clean" and "clean", shows the state as colours next to each unit, and can filter the list to show only what still needs cleaning. You can create dedicated accounts for cleaning companies that see only the cleaning module, without booking details, and only for the locations assigned to them. IdoBooking's mobile app also mentions cleaning status for team members.

If your cleaners work inside IdoBooking and that keeps the day running, you may not need anything else.

When Readyby helps

Many teams in Poland have cleaners from Ukraine who prefer to work in Ukrainian or Russian, and who coordinate everything in WhatsApp. That's the case Readyby is built for:

  • WhatsApp instead of a login. An AI coordinator sends the plan, asks for confirmation, reminds and passes on changes.
  • Each cleaner's own language. Ukrainian, Polish, Russian and English are available now; replies are translated back for you.
  • A checklist with photos that opens from a link on any phone. No app to install.
  • A suggested cleaner for each turnover, based on her days, areas and workload.
  • Owner photo reports and monthly CSV exports for your accountant.

IdoBooking's help centre describes the export like this. In the panel, open the Channel Manager tab and choose the option to share reservations as iCal files. Next to the option you want, click Details. IdoBooking offers four choices: reservations only, availability blocks only, reservations and blocks, or reservations, blocks and other reasons a unit is unavailable. Save, and IdoBooking generates an export file for each unit. Copy the export file URL next to each unit you want cleaned.

For a cleaning schedule, start with "reservations only". Every checkout in that file is a cleaning. If you add blocks as well, such as an owner's own stays, check the first week of cleanings in Readyby to make sure each block is treated the way you expect.

Labels in the panel may change, so if the path looks different, search IdoBooking's help for "iCal".

Setting up the IdoBooking cleaning schedule in Readyby

  1. Paste one link per unit. Readyby checks each link every few minutes. The export file is regenerated on IdoBooking's side, and the panel shows when each file was last generated.
  2. Only the IdoBooking link. IdoBooking already collects bookings from Booking.com, Airbnb and other channels, so its export covers them. Readyby won't create a second cleaning for one stay, but one source is easier to check.
  3. Times and duration. iCal often carries only dates. Set default check-out and check-in times per apartment and how long a cleaning takes, so tight turnovers are flagged.
  4. Cleaners. Add name, WhatsApp number and language. Each cleaner confirms in WhatsApp before getting plans.
  5. Review the first week before switching on automatic sending.

If you hand cleanings to Readyby, make sure your team doesn't also follow the IdoBooking cleaning module for the same units, or cleaners get two sets of instructions.

What iCal can't carry

The connection is one-way. Readyby doesn't change cleaning status in IdoBooking. Feeds rarely include guest counts or notes. Readyby keeps only dates, guest count and booking source, never guest names or contact details. Changes also arrive with a delay, so a same-day surprise still deserves a direct message.
